What does an AI school receptionist actually say?

By Mark, Founder of Yindi · 2026-07-21 · 4 min read

"But what does it actually say to a parent?" It's the first question every principal and office manager asks — and fair enough. The front office phone is the voice of your school. So rather than describe it, here are two example calls that show exactly how Yindi is configured to handle the everyday and the serious. The names are examples and no real school is shown, but the flow, the wording, and the escalation are exactly how Yindi works.

1. One call, three things handled

A parent rings in the evening for camp details — and ends up enrolling interest in a second child and logging an absence too, all in the one call. Notice how Yindi answers the question in full, is honest about what it can't do (enrolment is zone-based, so it routes to the team), and confirms the details back before finishing.

Yindi: "Good evening, welcome back to Yindi Demo School. It's Yindi, the school's AI assistant — I can log an absence, answer a question, or pass a message to staff. This call is recorded for quality. What can I help you with?"

Parent: "Can I get some information on the Year 5 camp?"

Yindi: "The Year 5/6 camp to Phillip Island Adventure Resort is a three-day overnight camp, departing school at 8am on Monday the 8th of July. Students need a sleeping bag, warm clothes, closed-toe shoes, and no electronics. Would you like me to text you those details?"

Parent: "No thanks. Can I get some info on enrolment? I want to enrol my child."

Yindi: "Yindi Demo School is a zone school, so you'll need to be in the local area to enrol. What's your child's first name and year level?"

Parent: "Sophia — she's starting Prep."

Yindi: "Just so you know, you can book a school tour through the school's website. I'll pass your details to the enrolment team and they'll be in touch."

Parent: "Great. Can you also log my child absent?"

Yindi: "Sure — what's the child's name and year level?"

Parent: "Ava, Year 6. She's got the flu — just tomorrow."

Yindi: "So that's Ava in Year 6, away tomorrow with the flu. Is that right?"

Parent: "Yes."

Yindi: "Done — I've let the office know. No worries, have a lovely day."

The result: the camp details are answered on the spot, an enrolment callback is passed to the team, and an absence is logged with the office — all in one call, without a staff member picking up the phone.

2. A wellbeing concern — escalated, not handled

This is the one that matters most. When a call touches student welfare, Yindi does not try to help, assess, or counsel. It recognises the concern and routes it to a human immediately — and alerts your designated child-safety staff.

Parent: "Hi, I'm really worried — my daughter said something happened at school today and I don't know who to talk to."

Yindi: "Thanks for calling. This sounds important and I want to make sure you speak to the right person straight away. I'm transferring you to our Deputy Principal, who handles wellbeing matters. If she's not available, the call will go to our Head of Junior School. Please hold."

Behind the scenes: a high-priority SMS fires instantly to the designated child-safety officer, flagging an urgent parent wellbeing call and the need for an urgent callback if the line is busy.
The result: escalated to a human in seconds. The AI never stands between a worried parent and a trained staff member — it just gets them there faster. You can read more about how Yindi is configured around child safety and compliance.

The pattern: handle the routine, escalate the rest

Those two calls capture the whole philosophy. Yindi takes the high-volume, routine calls completely — absences, general questions, messages, callbacks — and frees your office team to be present for the people in front of them. And the moment a call needs a human, it gets one, fast. It works alongside your existing phone system, and it's honest about what it can and can't do.
